How to manage technology projects

As your business grows, you will probably find more ways to use technology to increase production (and hopefully, profits). The decision to upgrade its technology environment to achieve their business goals is a necessary step, but equally important to identify the scope and budget of your project before jumping into the application.

This article describes a phased approach that will help maximize its budget and provide the best results when considering a technology improvement.

Phase I – Business Need

This initial phase is designed to help you determine if you have answered the questions "why" in relation to its objectives. You should be able to clearly identify the benefit of companies (ROI) for potential project, after completion of this phase. These are the steps that guides you through this phase:

1. What is the problem of deficit or that the needs of your investment time and money to solve?

2. His challenge now desperately need new or improved technologies?

a.Do employees additional training as necessary with existing systems?
b.Can solve the challenge of changing the workflow or business practices?

3. Once the problem is clearly defined and the solution points to technological improvements, a preliminary draft budget can be established.

Phase II – Budget and Scope

In Phase I we qualify our solution potential in the field of technology and now we have to define the scope of the solution. Without defining the scope, runs the risk of your project out of control growth in money and time. It is stage at which to take the time to clearly document business requirements or "what" will take place.

1. Bring all necessary stakeholders met to discuss the project objectives.

2. To determine how the problem was identified Phase I affects all key players.

3. Discuss how the problem can be solved with technology and be specific in relation to their practices business and existing workflows.

4. Document your findings and discussions.

5. Once the solution has been found, you can send your documents Favorites their supplier (s) and obtain proposals or quotations.

Phase III – Pilot

The implementation of any technology project can be difficult in the technology itself changes so rapidly and its employees may have different expectations of the solution. A pilot phase is very effective to "prove" the solution and confirm all expectations are met.

1. Once your provider has been identified, you can ask a driver or a trial solution exist for limited use test results.

2. After the pilot solution is carried out, be sure to measure the effectiveness and verify that the Phase I problems are resolved.

Phase IV – Implementation

So you have confirmed that the pilot is to resolve all or some of the problems identified in Phase I, now you're ready to deploy the complete solution. It is very important to closely monitor the management of your provider and make sure they deliver what they promised in their proposal.

1. Create a project plan consisting of the key stages of implementing its solution.

A sample is:

* Project Release
* Consideration of Budget
* The schedule for the rest of the project
* Identify training needs
* Installation Technology / Development
* Documenting changes in existing workflow
* Create a forum for employees to provide information during this process
* Develop a series of tests to verify newly installed technology that do not violate existing processes.
* Develop a series of tests to verify the newly installed technology to meet expectations of the proposed solution.
* Make sure your deadlines are respected and that the budget does not increase.
* The full implementation
Start training "

2. After the solution was installed, to consolidate all the documents and training materials in a single repository for quick reference.

Phase V – Project Review and closing

Now that the technological solution has been implemented successfully and everyone has been trained, you will to install measures to ensure that the solution is effective.

1. Create an anonymous survey for employees to provide feedback.
a. Survey Questions must include: the overall success of the project, training materials and the impact of liability.

2. Develop parameters to measure the benefits and / or efficiency was obtained as a result of this project. This will help you identify the real return on investment.

3. Continue to refine the training.

This progressive approach to managing a technology project is intended as a guide. What are many details to each step, it would be too long to describe here. Also There are many books that can help successfully manage such a project, not just technology. Here is a site that is a great reference for project management:
